Position Summary
The People & Culture Administrative Assistant provides comprehensive direct support and assistance to assigned executive(s). This role involves exposure to sensitive, confidential, strategic, and critical information, demanding discretion, independent judgment, tact, and diplomacy. A professional attitude and strong interpersonal communication skills are essential for success in this position.
Responsibilities
- Manages calendars for assigned executive(s), proactively ensuring they adhere to their schedules.
- Uses sound judgment to ascertain the nature of incoming calls, accurately records messages, addresses issues independently, and transfers calls as needed, following up on information requests.
- Manages the workflow of assigned executive(s), including meetings, correspondence, and milestone events, proactively prioritizing and partnering to ensure timely completion of all objectives.
- Communicates effectively, in person and through correspondence, with high-level contacts both internally and externally, such as vendors, customers, and senior leaders.
- Collaborates with other internal departments as required.
- Works with members of assigned executive(s) personal teams to coordinate complex calendars and light travel logistics.
- Composes, types, and prepares high-quality correspondence, memos, presentations, and confidential materials.
- Schedules and coordinates meetings or other events as directed by assigned executive(s).
- Coordinates directly, or in conjunction with the Travel department, travel arrangements including flights, hotels, and car services, creating detailed itineraries with all necessary confirmations and contact information (Light Travel).
- Prepares expense reports for assigned executive(s) as requested.
- Coordinates information transmission with other parties.
- Ensures adequate office supplies, submitting order requests for the department and coordinating department lunches.
- Performs additional tasks, projects, and responsibilities as assigned.
Skills & Experience
- Minimum of 2 years of experience as an assistant to a high-level individual within a fast-paced organization.
- Outstanding organization, prioritization, analytical, and anticipatory skills.
- Solid project management and problem-solving skills.
- Self-starter with internal drive and initiative to perform tasks to the best of one’s ability.
- Must be responsive to email, text, and phone calls, sometimes outside of standard business hours.
- Must be flexible and responsive to an evolving and changing business environment.
- Ability to communicate effectively, both verbally and in writing, with individuals at all levels of the organization, particularly senior leadership.
- Ability to work independently and thrive in a multi-task, fast-paced environment.
- Excellent organizational skills.

- Ability to maintain confidential information.
- Advanced knowledge and proficiency in Microsoft Excel, Word, PowerPoint, and Outlook, with the ability to learn other basic computer programs.
