About the role
Sales Administration Coordinator
To manage our tender opportunity distribution processes as part of the UK Strategic Bids Team.
Responsibilities:
- Managing distribution of correspondence relating to tender opportunities.
- Managing procurement portal accounts.
- Supporting general proposal and knowledge management activities.
- Management of opportunity distribution via the UK Proposals Mailbox with heavy email traffic.
- Distribution of tender and portal notifications.
- Liaising with internal stakeholders / clients to ensure opportunities are being routed correctly.
- Managing passwords / access requests and providing portal access details to business users.
- Troubleshooting portal problems, liaising with internal clients and portal organisations to resolve issues, escalating when required.
- Maintaining accurate and up-to-date company profile information on procurement portals.
- Maintenance of email distribution lists.
- Provide support with knowledge management activities as required.
Qualifications:
- University degree/Diploma qualifications would be advantageous.
- A' level English or equivalent.
Required Experience:
This person should be a capable, methodical administrator able to follow defined processes as well as being able to work under their own initiative. The successful candidate will be able to demonstrate that they are well-organised, customer-focused, and adaptable. It is important that the person is able to switch between planned, routine activities and urgent, reactive ones. You should have good cultural awareness, be conscientious and have an open mind. We will select a candidate with excellent English language / communication skills.
- At least 3 years' minimum experience in administration duties.
- Proficient user of MS Office (Word, Excel, PowerPoint, Outlook, Teams) with the ability to manage shared Outlook mailboxes including application of mailbox rules.
- Familiarity with navigating procurement portals would be an advantage.
- Proven ability to communicate in English openly and to proactively share knowledge.
- Possess a professional, confident manner.
- Able to work remotely from team environment.
Desirable Experience:
- At least 3 years’ experience working in a large (500+ people) organisation.
- Knowledge of SharePoint.
