Salary Grade: N05 From: $71,098.79 To: $88,873.00
Job Summary
Provide program support and assistance to the corporate communications team in the coordination and execution of multi-faceted communications activities across the WSIB. This Business Assistant role focuses on managing distribution lists, supporting mass email distribution, tracking and reporting on communication effectiveness, and maintaining intranet (SharePoint) content and resources.
Undertake and manage special projects or studies to facilitate action and/or decision-making relative to communications strategies, engagement campaigns, or enterprise-wide information sharing.
This is a super important role within the corporate communications team, requiring exceptional attention to detail, strong organizational skills, and the ability to manage multiple priorities in a fast-paced environment.
Key Accountabilities And Responsibilities
- Provide support and assistance to supervisor and management team to facilitate the administration of day-to-day activities by:
- Managing and updating complex mailing and distribution lists to ensure accurate and timely delivery of information to stakeholders
- Coordinating and executing the distribution of corporate emails, newsletters, and announcements, ensuring consistency and compliance with corporate standards
- Preparing internal communications, templates, and reports for team review and approval
- Organizing and scheduling communications initiatives, deadlines, and meetings for the team to ensure alignment and timely execution
- Preparing agendas and supporting material for communications meetings; keeping the team informed of current issues and priorities; taking and distributing meeting minutes as required
- Act as a liaison with internal and external groups to facilitate effective and efficient communication between the communications team and other areas of the WSIB. Respond to or provide general information on corporate communications programs, services, campaigns, and initiatives.
- Support the tracking, monitoring, and reporting of communications activities by:
- Gathering and analyzing data on communication reach, engagement, and feedback
- Preparing regular and ad hoc reports to measure and demonstrate the impact of communications initiatives
- Identifying and explaining variances or trends in communications metrics
- Identify and analyze data requirements for the development of weekly, monthly, or quarterly reports for the corporate communications team and management. Gather and compile data from various sources, including email platforms, analytics dashboards, and corporate records. Produce clear and visually effective reports using Microsoft Office and other reporting tools.
- Participate on committees and in various in-house projects or studies to support the planning and execution of communications strategies, campaigns, and business needs. This may include research, gathering background information, and supporting special communications initiatives as required.
- Liaise with information technology and other support areas on issues related to communication tools and platforms, such as email systems, SharePoint, and analytics dashboards, to facilitate the effective functioning of the communications team.
- Maintain appropriate access and security for communications platforms, including distribution lists, shared drives, and SharePoint resources. Support team members in troubleshooting access and permissions issues.
- Develop and maintain cluster/divisional/branch SharePoint Site by:
- Ensuring that all contact information, resources, and outlines are accurate and up-to-date
- Keeping all document libraries and links current, accessible, and fully functioning
Job Requirements
