About The Role

The Executive Administrative Assistant role is a vital position responsible for providing comprehensive administrative and secretarial support to the Vice President of Enterprise Strategy Integration. This role requires an experienced professional who can manage complex scheduling, coordinate domestic and international travel arrangements, handle confidential information with utmost discretion, and execute a variety of administrative tasks to ensure smooth operational flow. The successful candidate will demonstrate exceptional organizational skills, proactive problem-solving abilities, and the capacity to work independently in a fast-paced environment. Reporting directly to the Vice President, the Executive Administrative Assistant will serve as a key point of contact for internal and external stakeholders, facilitating efficient communication and logistical coordination for meetings, conferences, and stakeholder visits. This position involves regular onsite work with occasional travel, supporting the strategic initiatives of Lockheed Martin’s enterprise operations.

Qualifications

  • Minimum of 3-5 years of experience as an Executive Administrative Assistant or in a similar role
  • Proficiency in calendar management, travel coordination, and expense reconciliation
  • Strong organizational and multitasking skills
  • Excellent written and verbal communication abilities
  • Ability to handle sensitive and confidential information with discretion
  • Working knowledge of Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Experience preparing reports, presentations, and documents for executive leadership
  • Familiarity with Lockheed Martin policies and procedures is preferred
  • Ability to work independently with minimal supervision
  • Flexibility to work onsite and occasionally travel as required
  • High school diploma or equivalent; Bachelor’s degree preferred

Responsibilities

  • Manage complex and dynamic calendars for the Vice President, ensuring optimal time allocation
  • Coordinate extensive domestic and international travel arrangements, including accommodations, transportation, and itinerary planning
  • Prepare, review, and reconcile expense reports and manage related documentation
  • Maintain confidentiality and exercise discretion when handling sensitive information
  • Assist in planning and executing stakeholder visits, company events, meetings, and conferences
  • Coordinate logistics for senior leaders visiting Lockheed Martin sites
  • Respond professionally to inquiries from colleagues, clients, and external partners
  • Manage email correspondence, telephone calls, and other requests with tact and efficiency
  • Track project progress, update statuses, and ensure deadlines are met for delegated tasks
  • Support ad-hoc projects and administrative tasks as needed
  • Ensure all logistical and administrative details are handled effectively to facilitate smooth operations
  • Collaborate with internal teams to ensure alignment and timely execution of activities
