About The Role: Culinary Administrative Assistant

The Culinary Administrative Assistant with NMS plays a vital role in supporting the culinary team by managing administrative tasks that ensure seamless daily operations. This position involves handling clerical duties, coordinating schedules, managing communications, and assisting with event planning and inventory management. The role requires a proactive individual with excellent organizational skills, strong communication abilities, and a customer-focused approach. Reporting directly to the General Manager, the Culinary Administrative Assistant acts as a key liaison between customers, vendors, and internal staff, ensuring that all culinary operations run efficiently. This is a remote, work-from-home position based in Alaska, specifically within the Anchorage area, requiring the candidate to be a resident of the state.

Qualifications

  • High school diploma or equivalent
  • Knowledge of NSLP (National School Lunch Program) provided during training
  • Strong organizational and time management skills
  • Excellent written and verbal communication skills
  • Attention to detail and accuracy in work
  • Experience with billing and basic accounting
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) at an intermediate level
  • Strong cash handling and organizational skills
  • Ability to work flexible hours, including weekends and callouts
  • Fluent in English (reading, writing, speaking)

Preferred qualifications include a basic understanding of culinary operations and prior experience in an administrative role. The candidate should demonstrate the ability to work independently and as part of a team, with adaptability to changing priorities and effective problem-solving skills.

Responsibilities

  • Serve as the primary point of contact between customers, vendors, and internal staff to facilitate orders, inquiries, and information dissemination
  • Manage calendars and schedule appointments for the culinary team to ensure optimal time utilization
  • Handle incoming calls and emails promptly, providing professional and courteous responses
  • Prepare, review, and maintain various documents including reports, memos, and invoices
  • Assist with budgeting, expense tracking, and financial documentation
  • Coordinate travel arrangements for culinary staff as needed
  • Maintain accurate records of inventory for food and equipment, monitoring stock levels and identifying shortages
  • Place orders with suppliers and vendors, ensuring timely procurement of necessary items
  • Support planning and organization of culinary events, including catering and special functions
  • Collaborate with vendors and suppliers to ensure successful event execution
  • Respond to customer inquiries and resolve issues professionally and efficiently
  • Maintain a clean, organized, and safe workspace
  • Supervise and provide guidance to staff when necessary
  • Perform additional duties relevant to the department’s success as assigned
