About The Role

The Business Development Administrative Assistant at BECI is crucial for supporting the company's growth initiatives by providing administrative assistance to the Business Development Team. This non-exempt, salaried position is primarily based in Nashville, TN, with some travel required. The role encompasses managing routine administrative tasks such as report generation, calendar coordination, expense management, and travel arrangements, all designed to ensure seamless operational flow within the department. The ideal candidate will be organized, proactive, and customer-oriented, fostering a positive work environment and strong internal and external relationships. Qualifications

  • Associate degree with 6 months to 1 year of experience in an administrative role, or High school diploma/GED with at least 2+ years of relevant administrative experience
  • Strong organizational and detail-oriented skills
  • Excellent communication and interpersonal skills
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
  • Experience with CRM systems and proposal writing platforms (preferred)
  • Ability to handle multiple tasks efficiently and meet deadlines
  • Self-motivated, reliable, and discreet with a high level of professionalism
  • Punctual and dedicated to maintaining a positive work ethic
  • Ability to work independently and collaboratively within a team environment

Responsibilities

  • Assist Business Development staff with proposal preparation, client contact verification, and CRM updates
  • Manage calendar appointments, meetings, and schedule coordination for the team
  • Generate reports and assist in tracking project and opportunity statuses
  • Handle expense reports, purchase orders, and electronic filing of documents
  • Coordinate travel arrangements including booking flights, hotels, and transportation
  • Order and maintain office supplies for designated locations
  • Respond promptly and professionally to phone calls and emails from clients and internal teams
  • Participate in company meetings and huddles to stay aligned with team goals
  • Maintain confidentiality and discretion in handling sensitive information
  • Assist with office documentation, electronic filing, and general administrative tasks as needed
  • Support the overall operational efficiency of the Business Development Department
  • Perform additional duties as assigned by supervisors to support company initiatives
