About the Role

The Administrative Coordinator will manage daily office and facility operations ensuring a safe and efficient environment for employees, visitors and stakeholders. As the first point of contact, you will greet visitors, manage calls, coordinate travel and meetings, manage vendor relationships, and support various projects.

Qualifications

  • Bachelor’s degree or 5+ years of administrative experience
  • Exceptional organizational and communication skills
  • Proficiency in calendar management, travel coordination, and expense reporting
  • Experience with vendor and contractor management
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook)
  • Discretion in handling sensitive information
  • Nice to have: Experience in marine/industrial services and Spanish proficiency

Responsibilities

  • Oversee daily facility management including HVAC, electrical, plumbing, and security systems
  • Ensure safety compliance with regulatory standards
  • Greet visitors and manage reception area along with visitor logs
  • Coordinate office operations such as expense reporting, supply management, and vendor interactions
  • Manage incoming and outgoing communications and mail services
  • Coordinate domestic and international travel arrangements and executive calendars
  • Support internal and external communications and meeting preparations
  • Assist in planning company events, training sessions, and project support
  • Develop and monitor facility-related budgets and cost-effective solutions
