About The Administrative Assistant Specialist Role
We are seeking a highly organized and proactive Administrative Assistant Specialist to provide executive support to the Vice President of Systems Engineering, Integration & Test (SEIT). This pivotal role requires a detail-oriented individual capable of managing complex schedules, coordinating meetings and travel arrangements, and handling sensitive information with discretion. The ideal candidate will possess excellent communication skills, a customer service mindset, and the ability to thrive in a fast-paced environment. As a key member of the team, you will facilitate smooth daily operations, support leadership initiatives, and contribute to the overall efficiency of the department.
Key Responsibilities
- Provide comprehensive executive administrative support to the Vice President of SEIT
- Manage and maintain the executive’s Outlook calendar, including prioritizing meetings and requests
- Coordinate and schedule meetings, conferences, and special events, ensuring all logistics are handled efficiently
- Make travel arrangements, including booking flights, accommodations, and transportation, and prepare travel itineraries
- Compile, submit, and track expense reports accurately and timely
- Assist in preparing briefing materials, presentations, and reports for meetings
- Handle incoming correspondence, emails, and phone calls professionally and promptly
- Support general office tasks such as ordering supplies, managing visitor access, and maintaining office organization
- Coordinate with other departments and external vendors to ensure seamless operations
- Maintain confidentiality of sensitive information and uphold organizational policies
Qualifications
- 5+ years of experience as an Administrative Assistant or in a similar role
- Proficiency in managing emails, calendars, and scheduling using Microsoft Outlook, specifically Outlook Calendar management
- Experience in travel planning, coordination, and expense report submission
- Strong knowledge of Microsoft Office Suite including Word, Excel, and PowerPoint
- Excellent written and verbal communication skills
- Ability to maintain confidentiality and handle sensitive information appropriately
- Proven ability to prioritize tasks and manage multiple responsibilities effectively
- Customer service orientation with strong interpersonal skills
- Self-motivated, dependable, and proactive problem-solver
- Experience with Lockheed Martin systems such as LMres/SATRN/TQ3, and familiarity with security and hospitality procedures
- Ability to work both onsite and remotely as required
