About The Role: Administrative Assistant, Legal
We are seeking a highly organized and proactive Administrative Assistant, Legal to join our team. This role reports directly to the Firm Administrator and Partners and plays a vital part in ensuring the smooth operation of our office. The successful candidate will provide essential administrative and secretarial support, assist with client and internal communications, manage scheduling and calendar activities, and coordinate various firm events. Qualifications
- Proven experience in an administrative or secretarial role, preferably within a law firm or professional services environment
- Strong proficiency in Microsoft Office 365, including Word, Excel, and Outlook
- Experience with document management systems such as NetDocs or Caret is preferred
- Excellent written and verbal communication skills
- Exceptional organizational and time management abilities
- Attention to detail and accuracy in document production and proofreading
- Ability to multitask effectively and prioritize workload in a fast-paced setting
- Demonstrated discretion and sound judgment in handling confidential information
- Experience with Adobe Acrobat Pro and client relationship management systems is a plus
- Previous law firm experience is preferred but not mandatory
- High school diploma or equivalent required; additional certification or coursework in office administration is advantageous
Responsibilities
- Provide secretarial support by typing, drafting, formatting, and proofreading emails, letters, reports, and memos using Microsoft Word Styles
- Assist with copying, filing, faxing, and data entry into client resource databases such as Caret, NetDocs, or Excel
- Create and update document templates according to firm standards
- Support reception duties including answering and directing phone calls, greeting visitors, and managing the office appearance
- Process incoming and outgoing mail as needed
- Manage and maintain the firm’s calendar, including scheduling internal meetings and appointments
- Coordinate firm social events, client receptions, and conference attendance logistics
- Order and purchase office supplies, snacks, beverages, and cleaning materials as directed
- Prepare and submit expense reports, maintaining detailed records and receipts
- Organize electronic and hard copy files, ensuring accurate storage and easy retrieval
- Assist with general administrative tasks to support daily office operations and ensure a professional environment
