About The Role

We are seeking a highly motivated and organized Administrative Assistant to join our Legal Referral Service (LRS) team remotely. This full-time position (35 hours/week) reports directly to the Executive Director of LRS and provides essential support to the organization’s leadership and operational functions. The ideal candidate will be detail-oriented, possess excellent communication skills, and demonstrate the ability to manage multiple priorities efficiently. The role involves coordinating meetings, managing correspondence, supporting outreach efforts, and assisting with recruitment and organizational activities. Qualifications

  • Associate degree or higher, or equivalent professional experience
  • Minimum of 1+ years of relevant experience
  • Experience in legal, membership management, or customer service roles preferred
  • Proficiency in Office 365 applications, including Outlook, Word, Excel, and SharePoint (experience with SharePoint is a plus)
  • Strong written and verbal communication skills
  • Highly organized with keen attention to detail
  • Ability to handle multiple tasks and prioritize effectively
  • Quick learner with adaptability to new software systems
  • Excellent customer service skills
  • Ability to work collaboratively within a team and independently
  • Authorized to work in the United States (no visa sponsorship available)

Responsibilities

  • Provide direct administrative support to the LRS Executive Director and, as needed, the Associate Director of Operations
  • Coordinate committee meetings, including scheduling, RSVP collection, agenda preparation, and distribution of meeting minutes
  • Assist with internal staff coordination, scheduling check-ins, meetings, and leadership discussions
  • Draft, review, proofread, and manage internal and external correspondence ensuring professionalism and clarity
  • Support hiring and recruitment efforts by scheduling interviews, coordinating candidate communications, and administering assessments
  • Assist with panel member recruitment and membership management, including application review and interview scheduling
  • Support outreach initiatives by preparing and disseminating informational materials to courts, public offices, and partner organizations
  • Maintain outreach contact lists and track communications and follow-ups
  • Respond promptly to general inquiries via email and phone
  • Utilize Office 365 tools effectively and learn internal systems and databases quickly
  • Provide general operational support to ensure smooth day-to-day functioning of the organization
