Job Description
Analyst, Matter Mobility - White & Case LLP
Our Global Operating Center in Manila is key to improving operational efficiency and streamlining legal and business services support across our global network. This center provides comprehensive administrative, financial, and operational services in areas such as office operations, compliance, new business, finance, technology, human resources, innovation, and marketing. By centralizing these functions, we ensure consistent quality and reduce operational costs, allowing the Firm to focus on core legal services, drive global growth, and maintain high client service standards.
Essential Duties
- Coordinate core processes including daily work intake, assignment, quality review, and delivery for Matter Mobility domains.
- Advise Firm personnel on best practices for the accurate, efficient, and economic transfer and disposal of client and Firm proprietary information.
- Coordinate departmental work with Firm stakeholders across matter mobility to ensure timely delivery of work requests.
- Recommend clean-up and classification projects supporting Information Governance (IG).
- Analyze, design, and operate automated systems and processes, define business requirements, and develop workflows and procedures.
Matter Mobility Operations
- Coordinate work assignments with team members responsible for matter mobility process domains.
- Support initiatives to drive changes in working practices and Firm culture for efficient, cost-effective, modernized matter mobility.
- Meet performance, attendance, and punctuality expectations, proactively engaging in performance evaluation and feedback.
- Guide Firm personnel at all levels on the firm's matter mobility processes.
- Provide operational support for projects related to client and firm data.
- Coordinate plans and report progress towards matter mobility goals, including compliance, information management, storage, and archives.
- Support recommendations for clean-up project completion and management to align with firm IG policies.
- Draft, review, and present proposals, project plans, status reports, and metrics.
- Communicate the role’s vision, annual goals, and guiding principles in various forums.
- Communicate directly with senior management, the Office of the General Counsel, and other partners to address concerns and resolve issues.
- Develop and maintain professional and cooperative working relationships with all staff.
- Seek to learn and share information, knowledge, training, and skills.
- Meet Firm attendance and reporting requirements and policies.
Transfers Process Management
- Coordinate standard operating procedures for Incoming and Outbound Transfer requests and initiatives.
- Coordinate relevant systems and technologies used to support transfer processes.
- Coordinate assignments for the development, review, revision, and sustainment of standard operating procedures for electronic and hardcopy file migration.
- Liaise with OGC on the approval of client data releases for Outgoing Transfers.
- Coordinate with other IG departments on the approved receipt and ingestion of client data for Incoming Transfers.
- Monitor and report monthly and annually on transfer request volume, data, work effort, and utilization.
- Maintain the required evidence repository of Transfer activities.
- Coordinate the annual audit of Transfer procedures for compliance with Firm policies.
Departures Process Management
- Coordinate standard operating procedures for Departure requests.
- Provide end-users with guidance and recommendations for data classification, clean-up, and filing.
- Oversee relevant systems and technologies used to support departure processes.
- Maintain the required evidence repository of Departure activities.
- Coordinate with other IG department managers and Technology Management leadership to drive the approved Departure of data.
- Develop, review, maintain, and revise standard operating procedures for departure tasks and initiatives.
- Annually audit departure procedures to ensure compliance with Firm policies.
- Coordinate with Technology department colleagues and other business services departments to obtain relevant policies, procedures, reports, and contacts for departure requirements.
Reporting Structure
This role reports to the Senior Manager, Technology Information Governance.
