Your Role as an Executive Assistant

You will regularly and directly support the EVP and Chief Corporate Development & Strategy Officer and the Chief Financial Officer, Recorded Music & Music Publishing with carrying out their duties. Your responsibilities include, but are not limited to:

  • Preparing corporate documents and presentations, reviewing and analyzing information and documents relating to business operations.
  • Managing critical projects and coordinating business projects, interviews, etc.
  • Regularly and directly supporting the Executives with their correspondence, which may include managing the Executive’s email.
  • Managing the Executive’s schedule, including planning and coordinating internal/external meetings, conferences, and domestic/international business and personal travel.
  • Anticipating critical events and Executive’s needs, serving as a gatekeeper by screening, prioritizing, and escalating requests and inquiries.
  • Interacting regularly and directly with clients, potential clients, artists, and other high-level/VIP persons on behalf of the Executives, establishing and maintaining relationships (internal and external).
  • Managing Executive’s meetings and presentations, including organization, document preparation, and occasional coverage and taking minutes/notes.
  • Supporting Executives with civic and industry commitments, which may include attendance at industry events.
  • Upholding a strict level of confidentiality and regularly exercising discretion and independent judgment.
  • Working with and assisting the Executive Assistant to the CFO to manage team-wide responsibilities and meetings globally as required.

About You

We are looking for a highly experienced and dedicated individual who meets the following criteria:

  • 8+ years’ experience directly supporting C-suite executives, ideally in large-scale, fast-paced environments.
  • Highly operational, organized, and detail-oriented with high emotional intelligence (EQ).
  • Customer service-oriented with strong organization and time management skills.
  • Advanced knowledge of travel logistics, including itineraries for international and domestic travel.
  • Able to operate autonomously, comfortable with ambiguity, and demands excellence from themselves and others.
  • Strong work ethic with a team-oriented approach to supporting the Executive team.
  • Unquestionable moral compass.
  • Ability to work flexible hours in a dynamic environment and travel as needed.
  • Ability to sit and stand for long periods of time.

  • Previous executive assistance experience supporting a CEO, EVP, President, or other high-level executive with discretion and confidentiality.
  • Extreme discretion with sensitive information and exude professionalism.
  • Adaptability to a variety of situations with numerous personalities.
  • Excellent follow-through and attention to detail.
  • Ability to excel in a fast-paced, ever-changing environment.
  • Strong proficiency in and working knowledge of Google Suite.
  • A bachelor’s degree or equivalent.
