Job Description

Virtual Executive Assistant

Viva Talent is seeking a dedicated Virtual Executive Assistant to support fast-growing US and Canadian startups. This is not a traditional assistant role; you will take ownership, anticipate needs, and help executives succeed daily. We are looking for candidates located in Honduras, Guatemala, El Salvador, Costa Rica, Nicaragua, Colombia, Ecuador, and Mexico.

Viva's mission is to create real career opportunities for women across Latin America and welcome all who share our values. We emphasize impact, growth, and ensuring every voice matters.

What You Will Do

As an Executive Assistant (EA) at Viva, you will collaborate closely with fast-moving startup leaders. You will be responsible for keeping them organized, proactive, and ahead of their priorities.

  • Own calendars, inboxes, meetings, travel, and expenses.
  • Keep priorities clear and ensure the day runs smoothly.
  • Improve workflows and document processes.
  • Support projects, reporting, and internal coordination.
  • Think ahead, solve problems, and anticipate needs.
  • Take initiative to identify and implement improvements.

How You Know This Is The Job For You

  • You want your work to have a tangible impact.
  • You are proactive and naturally organized.
  • You prefer ownership and autonomy over micromanagement.
  • You thrive in fast-paced environments and enjoy learning new tools.
  • You seek growth, regular feedback, and long-term career development.

What We Are Looking For

  • 2+ years of general work experience.
  • Fluent English (C1 level).
  • Demonstrated stability in previous roles (at least one role of 2+ years within the last three).
  • Previous Executive Assistant experience is not required; transferable experience is highly valued.
  • Enthusiasm for AI and automation tools.
  • Proficiency with Google Workspace, Slack, Notion, and similar tools.
  • Reliability, proactivity, and confidence in communicating with leaders.

How We Take Care Of You

With a 4.7/5 Glassdoor rating, Viva offers a supportive and rewarding work environment.

  • A company driven by a real social mission and strong values.
  • A culture built around growth, empowerment, and well-being.
  • 100% remote work, permanently.
  • Clear growth paths: Sr. EA, CSM, Project or Operations Manager, Chief of Staff.
  • Excellent work-life balance: fixed schedules, no overtime, weekends off.
  • Competitive compensation: raises every 6 months, performance bonuses.
  • Global health insurance (medical, dental, vision, mental health, routine care).
  • Paid holidays, vacation, sick days, and family care days.
  • Family-friendly benefits, including paid parental leave and flexible parent policies.
  • Comprehensive paid training (4 weeks) and ongoing coaching.
