Job Description

About the Role: Virtual Assistant to CEO at Viva Talent

Join Viva Talent as a Virtual Assistant to CEO, supporting fast-growing US and Canadian startups. This role is designed for Executive Assistants who act as trusted partners, anticipate needs, and rigorously protect executive focus daily. We are specifically looking for candidates based in Honduras, Guatemala, El Salvador, Costa Rica, Nicaragua, Colombia, Ecuador, and Mexico.

At Viva, our mission is to create genuine career opportunities for women across Latin America, while welcoming everyone who aligns with our core values. We are committed to impact, growth, and fostering an environment where every voice matters.

As a Virtual Assistant to CEO, you will directly collaborate with C-level leaders at dynamic startups. Your primary responsibilities include safeguarding their focus, clarifying priorities, and enabling quicker, more informed decision-making. This is not a mere task-based assistant position; you will serve as a thought partner, a critical filter, and a force multiplier for the executives you support.

This is a full-time contractor position, offering a base salary of $1,200 USD per month, with total monthly earnings potentially reaching up to $1,600 USD, complemented by performance bonuses, compensation reviews every 6 months, and excellent benefits.

What You Will Do

  • Own the executive’s calendar, inbox, meetings, travel arrangements, and expense reports.
  • Act as a gatekeeper and prioritization filter for incoming requests and information.
  • Prepare executives comprehensively for meetings with context, essential notes, and follow-up actions.
  • Systematically track action items, deadlines, and commitments.
  • Provide support for various projects, reporting, and cross-functional coordination efforts.
  • Proactively anticipate potential issues and propose effective solutions.
  • Develop and enhance workflows, trackers, and crucial documentation.

How You Know This Is The Job For You

  • You thrive on building structured systems and continuously improving processes.
  • You naturally think in terms of priorities, moving beyond simple task lists.
  • You maintain composure, organization, and decisiveness even under pressure.
  • You embrace ownership and confidently suggest improvements.
  • You are meticulously detail-oriented and execution-focused.
  • You enjoy fast-paced environments and are eager to learn new tools and technologies.

What We Are Looking For

  • 2+ years of general work experience.
  • Fluent English proficiency (C1 level).
  • Demonstrated job stability, with at least one role in your last three showing 2+ years of tenure.
  • Previous Executive Assistant experience is not mandatory; we value transferable skills.
  • Excitement about leveraging AI and automation tools.
  • Comfortable with Google Workspace, Slack, Notion, and similar collaboration tools.
  • Reliable, proactive, and confident in communicating with senior leaders.

How We Take Care Of You

With a 4.7/5 Glassdoor rating, our team genuinely loves working here because we offer:

  • A company driven by a meaningful social mission and strong values.
  • A culture built around growth, empowerment, and employee well-being.
  • 100% remote work, permanently.
  • Clear career progression: Sr. EA, CSM, Project or Operations Manager, Chief of Staff.
  • Excellent work-life balance: fixed schedules, no overtime, weekends off.
  • Competitive compensation: raises every 6 months plus performance bonuses.
  • Global health insurance (medical, dental, vision, mental health, routine care).
  • Paid holidays, vacation, sick days, and family care days.
