Job Description
About Viva Talent
Viva Talent is dedicated to creating significant career opportunities for women across Latin America, while also welcoming all individuals who align with their values. The company fosters a culture of impact, growth, and empowerment where every voice matters.
Role: Virtual Assistant to CEO
This role is for Executive Assistants who act as trusted partners, proactively anticipate needs, and diligently protect executive focus daily. You will work directly with C-level leaders at fast-moving US and Canadian startups. This is not a task-based assistant role, but rather an opportunity to be a thought partner, a filter, and a force multiplier for the executives you support.
What You Will Do
- Own the executive’s calendar, inbox, meetings, travel, and expenses.
- Act as a gatekeeper and prioritization filter for incoming requests.
- Prepare executives for meetings by providing context, notes, and follow-ups.
- Track action items, deadlines, and commitments to ensure timely completion.
- Support various projects, reporting, and cross-functional coordination efforts.
- Anticipate potential issues and proactively propose effective solutions.
- Build and improve existing workflows, trackers, and documentation processes.
How You Know This Is The Job For You
- You enjoy building structure and continuously improving processes.
- You think in terms of priorities, rather than just a list of tasks.
- You are calm, organized, and decisive, even under pressure.
- You take full ownership of your responsibilities and proactively suggest improvements.
- You are highly detail-oriented and focused on execution.
- You thrive in fast-paced environments and enjoy learning new tools.
What We Are Looking For
- 2+ years of general work experience.
- Fluent English proficiency (C1 level).
- Demonstrated job stability: at least one of your last three roles should show 2+ years of tenure.
- Previous Executive Assistant experience is not mandatory; transferable experience is highly valued.
- Excitement about AI and automation tools.
- Comfortable with Google Workspace, Slack, Notion, and similar productivity tools.
- Reliable, proactive, and confident in communicating with leaders.
How We Take Care Of You
Viva Talent boasts a 4.7/5 Glassdoor rating, reflecting a highly satisfied team. Benefits include:
- A company driven by a strong social mission and core values.
- A culture built around growth, empowerment, and well-being.
- 100% remote work arrangement, permanently.
- Clear growth paths: Sr. EA, CSM, Project or Operations Manager, Chief of Staff.
- Excellent work-life balance: fixed schedules, no overtime, and weekends off.
- Competitive pay: regular raises every 6 months plus performance bonuses.
- Global health insurance (medical, dental, vision, mental health, routine care).
- Paid holidays, vacation, sick days, and family care days.
- Family-friendly benefits: paid parental leave and flexible parent policies.
- 4-week paid training program plus continuous coaching.
