Operations Executive Assistant at Viva Talent

Viva Talent is seeking an Operations Executive Assistant to support fast-growing US and Canadian startups. This role is crucial for maintaining smooth team operations through effective workflows, systems, and execution.

This position is currently open exclusively to candidates residing in Honduras, Guatemala, El Salvador, Costa Rica, Nicaragua, Colombia, Ecuador, and Mexico.

This role is particularly well-suited for professionals with backgrounds in operations, project coordination, logistics, or within environments that are heavily reliant on robust systems.

As a full-time contractor, the compensation structure includes a base of $1,200 USD per month, with potential total monthly earnings reaching up to $1,600 USD. This package is enhanced with performance bonuses, compensation reviews conducted every 6 months, and an attractive suite of benefits.

What You Will Do

You will provide comprehensive administrative and operational support to up to three executives, with responsibilities including:

  • Managing calendars, inboxes, meetings, travel arrangements, and expenses.
  • Building and continuously improving workflows, trackers, and essential documentation.
  • Supporting various projects, contributing to reporting, and driving process improvement initiatives.
  • Coordinating effectively across diverse teams and stakeholders.
  • Tracking critical deadlines, dependencies, and deliverables to ensure timely completion.
  • Identifying operational inefficiencies and proactively proposing innovative system enhancements.

What We Are Looking For

Candidates for this Operations Executive Assistant position should possess the following:

  • At least 2 years of general work experience.
  • Fluent English proficiency (C1 level).
  • A stable employment history, demonstrating a tenure of 2+ years in at least one of your last three roles.
  • Prior Executive Assistant experience is not mandatory; we highly value candidates with transferable skills and experience.
  • Enthusiasm for leveraging AI and automation tools.
  • Comfort and proficiency with Google Workspace, Slack, Notion, and similar collaboration tools.
  • Reliability, proactive initiative, and confidence in communicating with senior leaders.
