Executive Assistant - Remote

Viva Talent is seeking a remote Executive Assistant to support fast-growing US and Canadian startups. This role offers significant ownership and empowers you to help executives succeed daily.

What You Will Do

As an Executive Assistant at Viva, you will collaborate closely with startup leaders, managing competing priorities to ensure organization, proactivity, and foresight. You will support up to three executives with administrative and operational tasks, including:

  • Own and manage calendars, inboxes, meetings, travel, and expenses.
  • Maintain clear priorities and ensure the smooth execution of daily operations.
  • Improve workflows and document processes for enhanced efficiency.
  • Support projects, reporting, and internal coordination efforts.
  • Anticipate needs, solve problems proactively, and take initiative for improvements.

What We Are Looking For

  • Minimum of 2 years of general work experience.
  • Fluent English (C1 level).
  • Demonstrated stability: at least one of your last three roles shows a 2+ year tenure.
  • Previous Executive Assistant experience is not required; transferable experience is welcomed.
  • Enthusiasm for AI and automation tools.
  • Proficiency with Google Workspace, Slack, Notion, and similar tools.
  • Reliability, proactivity, and confidence in communicating with executives.
