As an Administrative Executive Assistant at Viva, you will provide crucial support to leaders of fast-growing US and Canadian startups. This role goes beyond traditional assistant duties; you will proactively take ownership, anticipate needs, and empower executives to achieve their daily objectives.
This is a full-time contractor position offering a clear and predictable compensation structure. The total monthly compensation can be up to $1,600 USD, comprising a base pay of $1,200 USD per month. You can earn an additional $400 USD through monthly activations, depending on being actively staffed with a client, supporting a CEO, and supporting up to three executives. Performance bonuses are paid every 6 months, with compensation reviews also occurring biannually.
What You Will Do
You will support up to three executives with administrative and operational tasks, including:
- Managing calendars, inboxes, meeting schedules, travel arrangements, and expenses.
- Ensuring priorities are clear and daily operations run smoothly.
- Improving workflows and thoroughly documenting processes.
- Assisting with projects, reporting, and internal coordination efforts.
- Proactively identifying problems, finding solutions, and anticipating future needs.
- Taking initiative to implement improvements wherever possible.

What We Are Looking For
- 2+ years of general work experience.
- Fluent English proficiency (C1 level).
- Demonstrated job stability: at least one of your last three roles should show a 2+ year tenure.
- Previous Executive Assistant experience is not mandatory; we value candidates with transferable skills.
- Enthusiasm for AI and automation tools.
- Comfortable using Google Workspace, Slack, Notion, and similar productivity tools.
- Reliable, proactive, and confident in communicating effectively with leaders.
