Administrative Executive Assistant at Viva Talent
As an Administrative Executive Assistant at Viva Talent, you will play a pivotal role in supporting fast-growing US and Canadian startups. This position goes beyond traditional assistant duties, requiring you to take ownership, anticipate needs, and proactively contribute to the daily success of executives. We are currently accepting applications only from candidates located in Honduras, Guatemala, El Salvador, Costa Rica, Nicaragua, Colombia, Ecuador, and Mexico.

In this full-time contractor role, you will collaborate closely with dynamic startup leaders who navigate diverse priorities. Your ability to maintain organization, act proactively, and stay ahead of demands will be crucial for their success. The compensation structure is clear and predictable, with a total monthly compensation of up to $1,600 USD. This includes a base pay of $1,200 USD per month, with potential monthly activations up to $400 USD based on client staffing, supporting a CEO, and supporting up to three executives. Performance bonuses are paid every six months, alongside compensation reviews.
What You Will Do
- Own and manage calendars, inboxes, meetings, travel arrangements, and expenses for up to three executives.
- Ensure priorities are clear and the executive's day runs smoothly and efficiently.
- Identify and implement improvements for workflows and meticulously document processes.
- Provide essential support for projects, reporting requirements, and internal coordination efforts.
- Proactively think ahead, solve problems independently, and anticipate executive needs.
- Demonstrate initiative to improve existing systems and processes without direct instruction.

What We Are Looking For
- A minimum of 2 years of general professional work experience.
- Fluent English proficiency (C1 level).
- Demonstrated job stability, with at least one of your last three roles showing a tenure of 2+ years.
- Previous Executive Assistant experience is not a prerequisite; we highly value candidates with transferable skills.
- Enthusiasm for leveraging AI and automation tools to enhance efficiency.
- Proficiency with Google Workspace, Slack, Notion, and similar collaboration tools.
- A reliable, proactive, and confident communication style when interacting with leaders.
