About the Role: Operations & Admin Assistant at VIALE

VIALE, a boutique luxury travel advisory affiliated with SmartFlyer Australia and Virtuoso, is seeking a highly organised and detail-oriented Operations & Admin Assistant to support the backend of the business. This casual position, offering 15–18 hours per week, is a remote role with a strong preference for Sydney-based applicants. It focuses purely on operational support, administration, coordination, and execution, rather than client-facing travel consulting.

Key Responsibilities

  • Managing supplier communications and follow-ups (confirmations, VIP requests, commission tracking).
  • Updating bookings and reservations in Tramada and AXUS.
  • Preparing hotel and flight quotes using provided templates.
  • Holding and managing flight bookings (training provided if required).
  • Tracking deposits, balances, and booking deadlines.
  • Supporting general administrative and operational tasks.

About You

  • Experience in Sabre/AXUS/Canva is highly advantageous.
  • Highly organised and process-driven.
  • Strong attention to detail.
  • Excellent written communication skills.
  • Comfortable working independently in a remote environment.
  • Proactive, reliable, and calm under pressure.

Hours & Employment Type

This casual position offers approximately 15–18 hours per week, ideally structured across 3 consistent weekdays, with a preferred working window between 11:00am – 5:00pm AEST for collaboration. The role has an initial 3-month probationary period, with a view to permanent part-time for the right candidate.

Remuneration & Location

Compensation is $30–$35 per hour plus superannuation, depending on experience. While remote, Sydney-based applicants are preferred for occasional in-person collaboration.
