Job Summary

Responsible for providing professional administrative support to the Chief Executive Officer by translating strategic direction into independently developed and executed project plans that achieve organizational objectives. This position requires the individual to perform and carry out duties and responsibilities at an executive level. Individual must have the ability to interact with diverse levels of management and administration across the institution. Must demonstrate strong decision-making skills while maintaining strict confidentiality regarding organizational matters.

This role will supervise other C-suite administrative staff.

Required Experience and Education

Education Bachelor's Degree in Business Administration, Healthcare Administration, or directly related field.

Experience 5 years of relevant additional years of work experience may be considered in lieu of education, or 5 years of relevant experience.

Key Responsibilities

  • Provides administrative support to the Chief Executive Officer.
  • Manages complex calendars, schedule meetings, coordinate appointments, and ensures effective time management.
  • Handles correspondence, including drafting memos, reports, and high level presentations.
  • Coordinates and implements executive-level projects, ensuring alignment with strategic objectives.
  • Assures the effectiveness of committees and meetings by recording minutes, preparing, and distributing agendas, related materials and following up on active action items in the minutes.
  • Coordinates travel arrangements, expense reporting, and reimbursements in a timely manner for executive leadership.
  • Serves as a key liaison between internal departments, external stakeholders, and health care partners.
  • Assists in planning and executing events, conferences, and board meetings.
  • Determines work priority and engages in obtaining and dispersing information. Provides counsel on decisions affecting interdepartmental relationships by supplying information from variety of sources and communicating in an appropriate professional manner.
  • Monitor inventory of office supplies and the purchasing of new material with attention to budgetary constraints.
  • Manages effective office operations of the executive suite by interviewing, training and coordinates executive support staff in duties related to the executive office.
  • Develop the performance of others by providing constructive feedback and coaching.
  • Communicate critical information in a warm, welcoming, and attentive manner.
  • Demonstrate flexibility by embracing change with a positive and proactive attitude.
  • May supervise executive support staff.
  • Performs other duties as assigned.
