The Senior Executive Administrative Assistant - Academic Division and Human Resources supports top executive leaders in the Academic Division and HR within US Acute Care Solutions. This role involves managing schedules, organizing meetings, and coordinating communications for executive teams.

Academic Division Support

Responsibilities include:

  • Coordinating complex schedules for Physician Executives.
  • Organizing meetings, preparing agendas and arranging technology setups.
  • Maintaining accurate monthly meeting minutes and files in Box.
  • Managing expense reports, travel arrangements, and action items.
  • Utilizing Outlook, Box, Zoom, and other digital platforms.

CHRO and HR Team Support

Key tasks include:

  • Providing calendar management and meeting preparation for the CHRO.
  • Organizing HR team meetings with agendas and materials.
  • Coordinating logistics for HR communications and employee engagements.
  • Maintaining organized digital and physical files for HR initiatives.
  • Supporting HR reporting, presentations, and follow-up on action items.

Knowledge, Skills and Abilities

Candidates must have strong computer skills in Windows applications (Word, Excel, PowerPoint), advanced organizational and communication abilities, confidentiality, and problem-solving skills. Flexibility in working hours, attention to detail, and a proactive approach are essential.

Education and Experience

Minimum requirements include a high school diploma or equivalent, at least five years of secretarial or administrative assistant experience, and preferably prior experience supporting executive leadership and working in academic medicine.

Physical Demands and Compensation

The role requires prolonged sitting, occasional walking, and travel up to 10 times per year. The hourly rate ranges from $24.83 to $45.93, determined by experience and location.
