Role Purpose
The HR Assistant performs assigned tasks across the wide range of HR services offered to office staff. This role is responsible for clear communication with internal clients and ensures the consistent and high-quality provision of all HR services.
Functions / Key Results Expected
Implementation of Human Resources Services
- Review international consultant recruitment requests, ensuring completeness, accuracy, and compliance with UNOPS recruitment policies and procedures.
- Monitor the status of recruitment requests and proactively follow up to support their timely processing.
- Draft and prepare offers of appointment/assignment and all necessary supporting documentation for designated officials' signatures.
- Oversee each stage of the recruitment process, identifying potential delays or issues and promptly escalating them to the responsible HR personnel.
- Guide clients and associates on the interpretation and application of recruitment policies and procedures within UNOPS.
- Maintain and regularly update recruitment systems to ensure accurate data entry and facilitate statistical reporting.
- Address HR-related inquiries from staff, including those concerning employment status and recruitment processes.
- Prepare and submit visa and permit applications in coordination with relevant United Nations departments.
- Enter and extract critical data from human resources information systems (HRIS) to support various personnel processes.
- Verify the accuracy of HR-related claims and benefits, ensuring full alignment with applicable personnel rules and regulations.
- Support the responsible HR personnel in monitoring contract statuses and preparing timely contract renewals, in-grade increment schedules, and personnel action forms.
- Maintain precise attendance records, leave records, Daily Subsistence Allowance (DSA) forms, and other relevant reports.
- Ensure all personnel files are current, complete, and contain comprehensive documentation.
- Search, retrieve, and compile HR statistical data for internal use and external reporting purposes.
- Gather and maintain updated information on training opportunities, including schedules, curricula, and associated vendor costs.
Knowledge Creation and Sharing
- Actively participate in HR-related training and capacity development initiatives for staff.
- Contribute to internal knowledge networks and Communities of Practice (COP) within UNOPS.
Education Requirements
Required
- Secondary education (or equivalent) with a minimum of 4 years of relevant experience; OR
- A Bachelor's degree (or equivalent) in any discipline with 0 years of relevant experience.
Desired
- A globally or nationally recognized professional certificate in Human Resources Management.

Required
- Relevant experience in any area of human resource management is essential.
- Demonstrated experience using collaboration and productivity tools (e.g., MS Office, G-Suite, etc.) and web-based management systems is mandatory.
