Administrative Officer
This is a full-time, continuing opportunity within the Faculty of Medicine and Health's Northern Sydney (Arabanoo) Precinct, located at the Royal North Shore Hospital Campus. This engaging administrative role provides support to clinical and academic teams, offering exposure to projects, events, and operational initiatives within a collaborative university environment. The base salary ranges from $89,755 to $100,495, plus 17% superannuation.

About the Opportunity
The Administrative Officer is a key member of the Northern precinct administration team, based at the Royal North Shore Campus in St Leonards. Reporting to the Precinct Manager, this role provides broad administrative support across the precinct's day-to-day operations. This includes, but is not limited to, meeting coordination, facilities support, assistance with monthly WHS audits, financial transaction processing, reporting, project support, event coordination, diary management, and support to the Northern Clinical School.
Working under general direction, the role requires initiative and good judgment to manage routine operational matters, escalating more complex issues when necessary. The position involves close collaboration with colleagues across the precinct and the wider university to ensure smooth operations and support the achievement of work area objectives.
Key Responsibilities:
- Provide proactive, high-quality administrative and operational support to the precinct, responding to enquiries and assisting staff, students, clients, and visitors.
- Coordinate daily administrative activities, analyze correspondence, prepare advice, and initiate follow-up actions on operational matters under broad direction.
- Deliver comprehensive diary, meeting, and event coordination support, including managing agendas, minutes, venues, catering, IT, and conference logistics.
- Manage records, finance, and asset processes, including invoicing, payments, procurement, reporting, database maintenance, and ensuring compliance with university policies.
- Maintain and update online content, databases, and reports, preparing standard and ad-hoc analysis, statistics, and presentations as required.
About You
- Relevant combination of training and experience.
- Demonstrated effective written and oral communication skills, including strong interpersonal skills to establish and maintain productive relationships with a diverse range of internal and external stakeholders.
- Demonstrated computer literacy with strong proficiency across the Microsoft Office suite.
- Proven organizational, time management, and numeracy skills, with the ability to accurately manage competing priorities.
- Excellent written and verbal communication skills, with the ability to respond professionally to a wide range of stakeholders.
- Proven ability to problem solve, meet deadlines, manage time, prioritize workload, and handle competing demands effectively.
