About the Position
The Administrative Aide provides high-level administrative support to the Director of Business and Finance at UIC Law. This role is a central resource for students, faculty, and staff, handling student account inquiries, coordinating with Financial Aid, Bursar, and Registrar, and ensuring efficient office operations.
Duties & Responsibilities
- Support the Director with daily operations of the Business Office.
- Act as the primary liaison for student account inquiries.
- Manage purchasing processes including i-Buy, Banner, and online orders.
- Oversee office operations: phones, email, mail, records, and correspondence.
- Coordinate travel arrangements and expense reporting in compliance with policies.
- Supervise financial transactions, reimbursements, vendor payments, deposits, and reconciliations.
- Provide guidance and training to student workers and staff.
- Manage U-Pass and i-card distribution with precise recordkeeping.
- Create and maintain confidential records and office documents.
- Support special events, projects, and notarial services as required.
Qualifications
A minimum of a high school graduation (or equivalent) with a combination of college coursework and/or relevant office experience totaling five years is required. Preferred candidates have strong organizational skills, proficiency in Microsoft Office, and experience managing busy academic schedules.
