Position Overview
The Administrative Aide - Administration & Finance role provides essential administrative support to the UIC Law Business Office. This role is responsible for managing student account inquiries, coordinating with Financial Aid, Bursar, and Registrar, and ensuring smooth office operations including purchasing, travel, and confidential record management.
Duties & Responsibilities
- Provide high-level support to the Director of Business and Finance.
- Act as liaison for student account inquiries and coordinate with related offices.
- Manage purchasing processes and respond to internal and external inquiries.
- Oversee office operations and maintain confidential information.
- Coordinate travel arrangements and expense reporting in compliance with policies.
- Supervise financial transactions, reimbursements, and reconciliation activities.
- Guide and train student workers and staff on office procedures.
- Manage U-Pass and i-card distribution and maintain accurate records.
- Support special events, departmental projects, and perform additional duties as assigned.
Minimum & Preferred Qualifications
Minimum Qualifications: High school graduation or equivalent and five years of experience through education or job experience in office administration, finance, or related fields.
Preferred Qualifications: Strong organization, scheduling skills, client relationship management, and proficiency in Microsoft Word, PowerPoint, Excel, and other related software.
