Job Description

Clinical Data Entry Clerk at University of Alberta

This position has a term length of 1 year plus 1 day.

Location: This role is hybrid with a mix of remote and in-person at North Campus Edmonton.

As an integral member of the ACURE research team, the Clinical Data Entry Clerk works in a dynamic, collaborative, quality-focused environment. Research staff interacts with technical, medical and management staff at the Kipnes Urology Centre, in addition to partnering hospitals and clinical trial regulatory bodies. The role provides an interesting and challenging opportunity to collaborate with Investigators and the health care team. The Clinical Data Entry Clerk performs the accessioning of incoming study patient information into the relevant database, assists in tracking/investigating and developing status reports on missing or delayed cases, and assists with other research study related activities such as IRB correspondence. This is an opportunity to exercise judgment and decision-making in the provision of moderately complex support service, including proof-reading, typing/word processing and inputting data/information, providing support with the maintenance of electronic and paper information filing/retrieval methods, systems and/or formats.

Responsibilities

  • Prepares source data for computer entry by compiling and sorting information, establishing entry priorities.
  • Creates and maintains filing systems for storing confidential records, retrieves records when needed, enters personal information, demographic, clinical and pathology data into database, enters consent information, intake surveys and quality of life questionnaires and other associated information, enters inventory information as appropriate.
  • Processes source documents by reviewing data for deficiencies, resolving discrepancies by using standard procedures or returning incomplete documents to the database manager for resolution.
  • Maintains data entry requirements following data program techniques and standard operating procedures.
  • Verifies entered data by reviewing, correcting, deleting or re-entering data, combining data from different data repositories, purging files to eliminate duplication of data.
  • Tests system changes and upgrades by inputting new data, reviewing output.
  • Secures information by completing database backups.
  • Contributes to the development of SOPs, maintains SOPs for the database, coordinates material requests and release, assists in the development and maintenance of intake surveys, investigates reports and documents deviations in practice.
  • Maintains operations by following policies and procedures and reporting needed changes.
  • Maintains patient privacy and confidentiality at all times and protects operations by keeping information confidential.
  • Contributes to team effort by accomplishing related results as needed.
  • Under supervision, assists Research Coordinator during patient recruitment processes when needed.
  • Signs confidentiality agreements.

Qualifications

  • Minimum high school diploma.
  • Minimum of six (6) months of recent related experience.
  • Related experience with clinical research databases is preferred.
  • Advanced computer skills using Microsoft Office.
  • Strong knowledge of medical terminology.
  • Good organisational and time management skills.
  • Good verbal and written communication skills.
  • Good interpersonal and service skills.
  • Ability to work independently and with a team.
  • Ability to produce work according to hospital standards.
  • Ability to use good judgment in assessing difficult situations.
  • Ability to perform routine work independently.
