Job Description

The Administrative Assistant III provides complex administrative support services to senior professional personnel. This includes assisting with HR tasks, coordinating payroll, managing onboarding and offboarding, and supporting research grant administration. The role also involves planning meetings, organizing travel and events, preparing high-value documents, monitoring budgets, and maintaining electronic filing systems. Additional responsibilities extend to supporting general administrative tasks across UHN Research Institutes to foster effective communication and best practices.

Key Responsibilities

  • Assist with human resource administrative tasks including payroll and onboarding/offboarding.
  • Plan and coordinate meetings; manage travel arrangements and expenses.
  • Prepare confidential documents such as proposals, grant applications, and reports.
  • Monitor and analyze departmental/lab budgets and financial reports.
  • Develop and maintain electronic filing and retrieval systems.
  • Support administrative activities under the UHN Research Institutes.

Qualifications

A minimum of Grade 12 or equivalent, plus a recognized diploma in a business or medical administrative program is required. Candidates must have four years of related administrative assistant experience, expert Microsoft Office skills, strong interpersonal abilities, attention to detail, and an understanding of healthcare or research environments. Preference is given to those familiar with medical terminology.
