About the Role

We are seeking an experienced Legal Administrative Assistant to provide high-level administrative and legal support to attorneys within a leading international law firm. Working as part of a collaborative team, this role is responsible for coordinating schedules, managing legal documentation, supporting billing activities, and ensuring smooth day-to-day operations.This position is ideal for professionals with prior law firm experience who thrive in a fast-paced environment and possess exceptional organizational and communication skills.

Key Responsibilities

Administrative & Legal Support
  • Provide administrative support to attorneys and legal professionals.
  • Prepare, format, proofread, and edit legal documents, reports, and correspondence.
  • Maintain confidential legal and client information.
  • Support day-to-day office and legal administrative functions.
Calendar & Meeting Management
  • Coordinate client meetings and internal conferences.
  • Schedule appointments and manage attorney calendars.
  • Reserve conference rooms and coordinate meeting logistics.
  • Arrange audio-visual equipment and meeting support services.
Travel Coordination
  • Arrange domestic and international travel for attorneys.
  • Prepare detailed travel itineraries and schedules.
  • Process travel expenses and reimbursement requests.
  • Coordinate logistics for business travel activities.
Document & Records Management
  • Maintain and organize matter-related documents.
  • Utilize document management systems for record retention and retrieval.
  • Ensure accurate filing and document control processes.
  • Support document production and distribution activities.
Billing & Timekeeping Support
  • Maintain attorney time records within billing systems.
  • Assist with billing administration and submission processes.
  • Coordinate with accounting teams to support billing accuracy.
  • Monitor administrative and financial documentation.

Required Qualifications

  • Previous administrative or secretarial experience within a law firm or legal environment.
  • Strong organizational and multitasking abilities.
  • Excellent written and verbal communication skills.
  • Ability to manage confidential information with discretion.
  • Strong attention to detail and accuracy.
  • Proficiency with Microsoft Office 365 applications.
