About the Role: E-commerce Executive Assistant

The E-commerce Executive Assistant will be a crucial operational partner to the Founder and CEO. Your primary objective will be to safeguard leadership's focus time and enhance the day-to-day execution of key priorities. This role encompasses comprehensive calendar, inbox, and travel management, alongside general administrative coordination. You will be instrumental in ensuring founder-level initiatives are meticulously organized, tracked, and consistently progressing. Serving as a central hub for communication and follow-through, you will manage meeting coordination, track action items, and provide executive status reporting, thereby increasing accountability and reducing operational friction. This position is designed to optimize leadership workflows, allowing the founder to concentrate on high-impact strategic decisions while maintaining clear visibility across all essential business priorities.

What You'll Do

  • Executive Support: Manage calendar, scheduling, confirmations, and rescheduling. Prepare a daily/weekly priority agenda for the founder. Coordinate meetings and follow-ups. Organize action items and ensure closure.
  • Inbox Management: Daily inbox triage by priority. Handle routine responses where appropriate. Escalate decision-required emails with concise context. Maintain inbox organization systems (labels/rules/folders).
  • Founder Project Coordination (Non-Owner): Maintain a founder-facing tracker for key priorities and deadlines. Follow up with owners to prevent dropped tasks. Surface blockers/risks early with recommended next steps. Create weekly status summaries (what’s on track, at risk, overdue). Coordinate project cadence; does not own functional execution.
  • Admin & Logistics: Coordinate payroll/tax/legal/admin workflows through external providers (CPA, filing services, etc.). Gather documents and track deadlines for compliance items. Book and manage personal/business travel itineraries. Research and coordinate personal logistics (e.g., apartment search shortlist, outreach, tour scheduling).

What You Bring

Must-Have Candidate Profile

  • 3+ years in an EA / Executive Assistant / Operations Assistant / Project Coordinator role.
  • Strong project management execution (tracking, follow-up, accountability, escalation).
  • Excellent written and verbal English.
  • High reliability, discretion, and attention to detail.
  • Strong organizational systems mindset.
  • Proficient in Google Workspace, Slack, and one PM tool (Notion, Asana, ClickUp, Monday, etc.).

Strongly Preferred

  • Experience supporting a founder/CEO directly.
  • eCommerce familiarity (Amazon, Shopify, DTC) is a plus.
  • Experience in fast-paced small teams.

Salary & Perks

  • Part-time to start: 15–25 hours/week.
  • The position is immediately available and requires entering into an independent contractor agreement with TLNT.
  • 100% remote — work from wherever you do your best thinking.
  • Must provide a minimum of 4 hours/day overlap with Pacific Time (San Diego).
