Job Description
Executive Assistant & Tax Administrator
We’re seeking a highly organized and detail-oriented Executive Assistant & Tax Administrator to support the company Founder and broader tax strategy team. This hybrid role blends data-entry, administrative, executive support, and light project coordination responsibilities. This is a unique opportunity to work side-by-side with a Founder, providing leverage across both strategic priorities and day-to-day operations, and for the right team member, it has served as a springboard to greater roles with income and responsibility growth. The ideal candidate thrives in an entrepreneurial environment, can manage multiple priorities, and has excellent communication and organizational skills.
Key Responsibilities
Executive & Administrative Support
- Provide direct administrative support to the Founder, including inbox, phone, calendar, and meeting management.
- Coordinate travel, events, and speaking engagements.
- Set up and maintain Google Alerts to keep the founder informed on market trends, business developments, and emerging tax strategies.
- Track and summarize relevant insights, evaluate tax strategies promoted by others, and highlight opportunities for new or co-developed tax approaches.
- Draft and edit internal and external communications, presentations, and reports.
- Track and manage action items for Founder, ensuring timely completion across departments.
- Seek ways to make Founder more effective and efficient.
Tax Strategy Support
- Assist with administrative aspects of tax strategy implementation, including data entry, form completion, and document collection.
- Update and maintain client records in HubSpot (CRM) and ensure accurate progress tracking.
- Communicate with clients via email/phone/text/video conferencing to gather information or provide instructions, escalating complex questions to senior advisors.
- Coordinate with internal teams and external providers to ensure deadlines and compliance requirements are met.
General Operations & Coordination
- Support firmwide projects, client onboarding, and culture or engagement initiatives.
- Ensure internal systems and files remain organized, current, and compliant.
Qualifications
- 1–3 years of experience in administrative, executive assistant, or coordinator roles (financial services or professional services preferred).
- Exceptional attention to detail, accuracy, and follow-through.
- Strong written and verbal communication skills.
- Proficiency with Microsoft Office and CRM tools (HubSpot preferred).
- Ability to handle sensitive information with discretion and professionalism.
- Availability to work U.S. business hours with flexibility during busy seasons (Oct–Dec).
