Our company runs on automation. Sales, onboarding, fulfillment, reporting — all powered by Airtable, Make, Slack, Kajabi, and connected systems. As we scale, duct-tape automations won’t cut it. This role exists to own and architect our internal automation stack end-to-end, reduce manual work across departments, and build scalable systems that leadership can rely on without constant fixing. You are not here to “build zaps.” You are here to own the machine.

We are a fast-growing online business operating in a high-ticket, performance-driven environment. Speed matters. Clean systems matter. Visibility into metrics matters. Right now, our operations rely heavily on interconnected tools — and we want a single internal owner responsible for keeping everything structured, optimized, and scalable as we grow. This is a long-term, core infrastructure role.
The Role Overview
This role exists to design, manage, and optimize our internal systems architecture so that manual admin work decreases and operational visibility increases across the company. You will own automation across: Sales, Client onboarding, Fulfillment, Reporting, Internal team workflows.
If done well: Manual work drops significantly, Onboarding becomes seamless, KPIs are visible in real time, Leadership stops troubleshooting automation issues.
Responsibilities (Outcome-Based)
You are accountable for:
- Designing and managing advanced Airtable systems (multi-table databases, linked records, dashboards, KPI tracking)
- Building and maintaining automations across Make.com, Zapier, Slack, Kajabi, and connected tools
- Monitoring automations daily and proactively fixing failures before they create downstream problems
- Building scalable onboarding & fulfillment systems (intake → Slack access → CRM tracking → milestone tracking)
- Creating internal dashboards for activation, retention, churn, revenue, and team performance
- Reducing manual admin work across departments by systemizing repetitive processes
- Documenting workflows clearly and enforcing clean system standards
- Protecting and evolving the automation architecture as we scale
This is ownership — not ticket-based execution.

- Onboarding flows operate without human intervention
- KPI dashboards are trusted and always up to date
- Departments stop creating workarounds outside the system
- Leadership has full visibility into performance metrics
- We no longer rely on agencies for automation support
Required Experience
Seniority Level: Senior. This is a senior role because you are owning system architecture, not just building tasks. You should have:
- Advanced Airtable experience (complex relational systems)
- Advanced Make.com experience
- Strong Slack automation & integration knowledge
- Experience with Zapier
- Experience with Kajabi automations
- Strong understanding of webhooks and APIs
- Proven experience building automation systems for fast-growing online businesses
- Ability to translate business problems into technical solutions independently
Tools / Environment
You will work extensively with:
- Airtable (advanced)
- Make.com (advanced)
- Slack automations
- Zapier
- n8n (strong plus)
- Kajabi
- CRM integrations (Close is a strong plus)
- Webhooks / API integrations
Tool knowledge matters — but system thinking matters more.
Compensation & Benefits
- $2,500 – $3,300 USD per month (based on experience)
- Paid once per month via Wise
- Full-time, long-term role
