How You Will Make an Impact
We are seeking a highly organized and diligent Marketing Administrative Assistant to join our Events & Marketing Communications team within our Global Downstream Marketing organization. This role will be central to ensuring smooth day-to-day operations of the team by managing administrative tasks, supporting content processes, and maintaining organization across marketing tools and platforms.
The ideal candidate is resourceful, proactive, and eager to learn, with a strong ability to juggle multiple tasks and support cross-functional teams.
What You Will Do
Marketing Operations & Support
- Assist with event coordination tasks to support the events team, including managing contracts, logistics, and processes required for engaging speakers.
- Help set up and manage webinars and virtual events via Demio, including scheduling, logistics, and reporting.
- Assist in managing the Events & MarCom team budget, including tracking expenses and processing invoices.
- Assist in managing the printing of promotional material in accordance with the various processes in place in each country.
- Assist in managing the workflow related to Customer Notifications.
Content & Asset Management
- Upload, organize, and maintain assets in Showpad for sales enablement, and provide reporting on usage.
- Upload and manage assets in the digital asset management (DAM) system.
- Manage content approval workflows by uploading and overseeing marketing asset reviews through Adobe Workfront in compliance with local regulations.
- Coordinate translation projects, ensuring timely and accurate delivery of localized content.
Administrative Support
- Provide day-to-day administrative assistance to the Senior Manager of Events & MarCom.
- Assist with ad hoc marketing projects and other operational tasks as needed.
Keys to Success
Education
- Bachelor’s or Associate’s degree in digital marketing, marketing, or a related field.
Experience Required
- 2-3 years of experience in marketing or communications.
- Strong organizational skills with exceptional attention to detail.
- Comfortable working across multiple digital tools and platforms (experience with ShowPad, Workfront, Adobe AEM assets, Demio, or Wordbee a plus).
Experience Preferred
- Familiarity with marketing operations or content management systems.
- Experience supporting webinars or digital events.
- Experience in healthcare or life sciences industry.
- Interest in building a career in marketing or marketing operations.
Knowledge, Skills, Abilities
- Excellent written and verbal English communication skills.
- Ability to manage multiple competing priorities and work effectively in a fast-paced environment.
- Team player with a positive attitude who is prepared to go the extra mile to accomplish business objectives.
