Operations Manager - The New York Times Magazine

Role Overview
The New York Times Magazine is seeking an organized and proactive Operations Manager to provide administrative support to the Creative Director and Director of Photography. This role oversees critical operational responsibilities for the Art and Photo teams. We need a direct individual who can prioritize tasks and excel in a fast-paced, high-pressure environment.
Key Responsibilities
- Executive Support: Provide comprehensive administrative support to the Creative Director, including calendar management, travel coordination, and expense reporting.
- Financial Operations: Manage invoice processing, tracking, and reconciliation for the Photography Department, acting as the liaison for finance and vendors. Manage the Photo team P-Card.
- Workflow Management: Independently manage diverse tasks like scheduling meetings, tracking vacations, and maintaining departmental calendars.
- Document & Asset Control: Facilitate the secure handling of essential documents for photo shoots. Oversee the maintenance of cloud storage and physical archives.
- Editorial & Promotional Support: Prepare and upload content to the internal CMS and syndication services. Assist with administrative requests, coordinate contest submissions, and help assemble presentations.
- Logistics: Order and maintain supplies, distribute magazine issues, and plan departmental events. Collaborate with the Magazine's Operations Manager on special projects.
- Mission Alignment: Demonstrate support for journalistic independence and The Times' mission to seek the truth and help people understand the world.
Basic Qualifications
- 5+ years of administrative and operational experience, preferably in a creative or media environment.
- High degree of professionalism, discretion, and confidentiality.
- Exceptional organizational skills, sense of urgency, and ability to prioritize under deadline pressure.
- Mastery of Google Workspace (Gmail, Google Docs, Google Sheets).
- Demonstrated self-starter mentality with direct and professional communication.
- Resilience and diplomacy to manage competing demands from senior stakeholders.
- Strong interpersonal skills and professional written communication.
- Ability to work under deadline pressure and be accessible after hours/weekends for breaking news.
