As a core business unit of LF, the Event Team (composed of 50+ event management, sales and marketing professionals) manages over 150 global events and conferences each year, ranging from 50 to 20k attendees. We host in-person, virtual and hybrid events.

The Role: Event Coordinator, Sponsorship Deliverables

We’re looking for a highly organized, detail-oriented, and customer-focused Event Coordinator, Sponsorship Deliverables, to join the Sponsorship Deliverables team within our global events organization.

This position plays a critical role in ensuring our event sponsors receive seamless, high-touch service and that all exhibit-related deliverables are executed with precision and professionalism. This individual will be the primary point of contact for sponsors after contract execution and will manage the successful delivery of all sponsor-related assets—most notably their exhibit booth presence. The ideal candidate has direct experience managing exhibit halls at B2B conferences, working with exhibit contractors, overseeing floorplans, and balancing sponsor needs with firm operational deadlines.

This role reports to the Director of Events, Sponsorship Deliverables, and will collaborate closely with the sponsorship sales team, event operations teams, and exhibit vendors across a portfolio of 30+ global events annually.

What You Will Work On

  • Serve as a sponsor-facing point of contact post-sale, ensuring all sponsorship deliverables are executed accurately and on schedule.
  • Assist exhibit hall operations end-to-end, including floorplan development, booth assignments, utilities (power, internet, AV, lead retrieval), shipping, signage, branding, furniture, and décor.
  • Assist in managing exhibit vendors and contractors, including communication, timelines, specs review, and task tracking.
  • Build and manage the sponsor exhibit portal, related websites, and all sponsor-facing communications.
  • Enforce sponsor deadlines with professionalism, balancing strong project management and customer service.
  • Partner closely with the sponsorship sales team to align expectations and ensure deliverables are feasible and clearly communicated.
  • Provide on-site leadership and assist during move-in, exhibit setup, and live event operations; support sponsor check-in and troubleshoot issues to ensure a polished experience.
  • Support the execution of B2B events and conferences globally (in-person, virtual, and hybrid), independently and as part of a larger team.
  • Support core event operations, including space planning, F&B, AV, staffing, internet, stage design, health and safety, branding, and attendee experience.
  • Create, update, and maintain event and sponsor processes, documentation, timelines, and resources.
  • Write, edit, and proofread event materials for websites, signage, registration, and attendee/speaker/sponsor communications.
  • Collaborate cross-functionally with internal teams, community members, and external vendors to deliver events successfully.
  • Provide on-site event support and customer service to attendees, sponsors, and stakeholders.
  • Negotiate with vendors to deliver high-quality events on budget, finding creative solutions to maximize resources.

Who We Are Looking For

  • 4+ years of experience in B2B event planning, with deep experience in exhibit hall and sponsorship management.
  • Proven ability to manage multiple sponsors, vendors, and priorities simultaneously in complex event environments.
  • Working knowledge of exhibit contractor platforms and standard sponsor deliverables (power, internet, AV, lead retrieval, shipping, signage, booth logistics).
  • Experience working with global sponsors, vendors, and large-scale exhibit halls.
  • Customer-service driven, with the ability to set clear expectations and enforce timelines professionally.
  • Strong written and verbal communication skills, with a clear, friendly, and composed style under pressure.
  • Highly detail-oriented with excellent project, time, and organizational management skills.
  • Collaborative, solutions-oriented, and adaptable in fast-paced, evolving environments.
  • Proficient with business tools (Google Workspace, Salesforce, Slack, Asana) and event technologies (e.g., Cvent, ExpoGenie); experience with exhibit portals or sponsor management platforms a plus.
  • Hospitality-minded, approaching sponsor interactions as a brand ambassador for the organization.
  • Bachelor’s degree in events, marketing, business, communications, or a related field preferred.
  • Second-language proficiency and prior remote work experience a plus.

Additional Information

This position requires overnight and weekend travel to events both domestically and internationally (~30% average across the year, with spring and fall having heavier travel).

This position is remote and is open to applicants who can work North America time zone standard business hours.

Salary $63,000 - $73,000 USD
