Original Job Summary
Position Purpose
The Administrative Assistant Director performs full administrative and general office duties in support of a Director and/or department.
Key Responsibilities
Clerical and Document Management (30%): Typing, note taking, managing daily mail and establishing official records.
Calendar and Travel Coordination (30%): Scheduling appointments, meetings, conferences, and travel arrangements.
Communication (25%): Preparing routine letters, memorandums, agendas, presentations, and managing email and voicemail correspondence.
Call Screening and Budget Assistance (15%): Screening telephone calls and assisting with light accounting/budget review.
Direct Manager/Direct Reports
This position reports to a Director or Sr. Director and has no direct reports.
Travel & Physical Requirements
No travel required. Most work is done sitting with occasional movement or light lifting.
Working Conditions
Located in a comfortable indoor area with infrequent unpleasant conditions.
Minimum Qualifications
- 18 years or older; legally permitted to work in the United States.
- Support a specific supervisor/department with routine tasks.
- Follow existing routines and instructions with guidance available.
Preferred Qualifications
- PC skills and proficiency in Microsoft Office, Lotus Notes, and Internet.
- Strong written and verbal communication, organizational skills, and attention to detail.
- Experience with office equipment (fax, copier, phone, etc.).
Education & Experience
High school diploma or GED required. Minimum 2 years of work experience.
