Overview of the Event Manager Role

We are seeking a sharp, detail-obsessed Event Manager to design and deliver unforgettable experiences for The Free Press's subscribers. Reporting to the Head of Community & Events, you will serve as the operational backbone for our live programming, overseeing logistics, systems, vendor relationships, and post-event reporting. This is a fast-moving, mission-driven role ideal for a resourceful candidate who thrives in startup culture and believes that ideas deserve a stage.

Responsibilities

  • Plan and execute events from start to finish, including venue selection, A/V, travel arrangements, seating, and run-of-show.
  • Build and maintain strong vendor and venue relationships to ensure a reliable network for future The Free Press events.
  • Design thoughtful experiences for VIPs and sponsors, incorporating perks, signage, and custom touches, while ensuring a stellar experience for all guests.
  • Maintain organized contact lists, vendor information, and event records within our CRM system.
  • Manage event budgets, track expenses, and negotiate contracts effectively.
  • Produce comprehensive post-event recap decks featuring photos, data, and lessons learned to enhance future programming and support sponsorships.
  • Make real-time decisions on-site when unforeseen changes occur, ensuring events run smoothly.
  • Collaborate closely with editorial, partnerships, and marketing teams to ensure strategic alignment and maximum impact.

Basic Qualifications

  • 5+ years of event or project management experience (media, culture, or nonprofit preferred).
  • Willingness to travel (10–20%).
  • Availability for evening and weekend work during events.
  • Demonstrated ability to manage events end-to-end, from intimate salons to large gatherings for over 1,000 people.

Additional Qualifications

  • Proficiency in project management tools such as Asana, Airtable, or similar platforms.
  • Comfort with ticketing platforms and CRM systems.
  • Strong negotiation skills and proven vendor management experience.
  • Financial literacy, including the ability to manage budgets and evaluate trade-offs.
  • Ability to thrive in a fast-moving, resourceful startup culture, embracing hard work.
  • Mission-driven mindset, ideally already a 'Free Presser' or deeply aligned with the company's values.
  • A love for systems and organization—maintaining lists, updating CRMs, and building processes—with the flexibility to pivot when necessary.
  • Composure under pressure and comfort with the inherent unpredictability of live events.
  • Exceptional attention to detail, from name card fonts to the overall guest experience.
