Office Administrator

Terracon is seeking a dedicated and organized Office Administrator to oversee daily general office operations. This role involves coordinating various aspects of the office environment, including office maintenance, ordering supplies, and supporting fleet management and marketing activities.

General Responsibilities

  • Ensure the efficient and effective operation of the office through various administrative tasks.
  • Coordinate and schedule office equipment maintenance, greet visitors and vendors, and conduct office tours.
  • Manage workstation setup, new hire introductions, and onboarding processes for office employees.
  • Foster employee engagement by coordinating local office events, trainings, and onboarding.
  • Share updates on wellness initiatives, recognition programs, and annual activities like benefits enrollment.
  • Resolve general office-related questions, including timesheet inquiries.
  • Support the office with computer replacements, asset inventory, and recycling.
  • Assist in maintaining compliance with local, state, and federal employment laws by updating employment law posters.
  • Provide administrative support to project managers, including tracking documentation, project status, and drafting reports.
  • Offer administrative support for marketing materials, including formatting presentations and proposals.
  • Participate in the annual budget request process for regional fleet ordering.
  • Support local office fleet management through administrative tasks such as reviewing vehicle rentals, processing POs and invoices, and ensuring DOT compliance.
  • Serve as the point of contact for fleet management vehicle registration, new vehicle processes, and maintenance scheduling.
  • Assist in reviewing local office performance on key cost factors like asset utilization and preventative maintenance compliance.
  • Support the administration of the vehicle/equipment telematics program.
  • Follow all safety rules, guidelines, and standards for projects and participate in pre-task planning.
  • Report any safety issues or concerns to management.
  • Maintain quality standards on all projects.
  • Perform other duties as assigned.

Requirements

  • High school diploma or equivalent.
  • Minimum of 1 year of administrative experience required.
  • Valid driver's license with an acceptable violation history.
