Job Description
Job Purpose
Ensuring smooth administrative support for the office and dealing with suppliers to provide necessary administrative support. This role also involves implementing other administrative tasks as needed and upon request, contributing to the efficient functioning of the office environment.
Responsibilities
- Purchase office supplies, stationery, laptops, landlines, and other necessary equipment.
- Provide comprehensive administrative assistance to staff and management.
- Work with the HR Manager to organize engaging staff activities.
- Coordinate travel and lodging accommodation for staff, management, and visitors.
- Coordinate the services for visa and resident cards for expatriates and foreign visitors.
- Liaise with building management to maintain good office services (air conditioning, power, hygiene, safety, etc.).
- Ensure offices are in excellent condition (air-conditioning, electricity, drinks, telephone, meeting rooms, office furniture, and stationery, etc.); negotiate with suppliers for best services with cost-effectiveness.
- Maintain and update contact lists for efficient communication.
- Manage and preserve Company Stamp: ensure that documents are signed and stamped appropriately.
- Supervise tea ladies, as well as hygiene and maintenance services to uphold office standards.
- Coordinate the repair and maintenance of office equipment to minimize downtime.
- Follow up on office administration contracts to ensure timely renewals and compliance.
- Assist in other administrative support as requested by superiors.
- Advise the management on changes or solutions to improve office management when necessary.

- Good command of communication skills, both spoken and written in English.
- Good command of general administration and office protocol.

- Ability to work independently with little guidance from the HR Manager.
