Job Overview

Swooped is looking for a highly motivated and experienced Sr. Administrative Assistant to support up to three Revenue VP leaders, reporting to the VP, Field Operations. The role is an individual contributor position with significant autonomy, responsible for driving clarity, cadence, and execution in a fast-moving, remote environment.

Key Responsibilities

  • Principal Support: Manage calendars, travel, and expense reporting.
  • Information & Knowledge Management: Optimize communication flows and organize team communication channels.
  • Communications Support: Draft and edit correspondence and presentations.
  • Event Planning & Coordination: Organize team offsites, virtual events, and quarterly sales boot-camps.
  • Business Partnership: Coordinate operating rhythms, prepare briefing documents, and manage follow-ups.
  • Budget and Vendor Coordination: Work with Finance and Legal on budget tracking and purchase requests.
  • Cross-Functional Collaboration: Liaise with GTM, Finance, Legal, Product, and CS teams.

What You Bring

  • 5+ years in an Administrative Assistant or high-performance support role.
  • Proficient with Google Workspace, Slack, collaboration tools, and spreadsheets.
  • Ability to work across multiple time zones with occasional non-standard hours.
  • Willingness to travel 30-40% for offsites and key meetings.
  • High integrity, discretion, and strong communication skills.
