What this Legal Operations Specialist role will do:
- Own and manage centralized intake and workflow execution for Legal requests.
- Enforce intake standards, prioritization, and escalation paths across Legal.
- Operate and maintain Legal systems (CLM, intake systems, procurement system, matter management platform).
- Serve as the first operational layer for routine legal work using playbooks and templates.
- Reduce friction, rework, and ad hoc escalations through process enforcement.
- Track and surface trends related to intake volume, turnaround time, and spend.
- Identify recurring operational issues and drive process improvements.
- Partner with attorneys and cross-functional stakeholders to keep Legal running efficiently.
What is needed to thrive as a Legal Operations Specialist:
- Experience: At least 5 years of experience in legal operations, contract management, or a similar execution-heavy legal role.
- Planning & execution: Ability to design practical workflows while also handling day-to-day execution and real-time questions from the business, balancing immediate delivery with long-term scalability.
- Operational judgment: Comfort enforcing process, prioritizing work, and exercising discretion.
- Issue-spotting: Ability to identify risk, patterns, and recurring friction points across Legal workflows.
- Ownership mindset: Ability to manage intake and workflows independently without constant oversight.
- Communication: Clear, confident communicator who knows when and how to escalate.
- Systems thinking: Experience working with Legal tools (CLM, intake systems, procurement system, matter management platform).
- Adaptability: Comfortable operating in a fast-paced, scaling environment.

Swooped offers a competitive total cash compensation for this role between $110,000 - $130,000, dependent on skills, experience, and market demands, with ample room for growth.
