Key Responsibilities
- Collaborate daily with the Chief of Staff and the leadership team to ensure streamlined operations and effective communication across departments.
- Serve as a key point of contact between executives, internal teams, and external partners, facilitating information flow and timely responses to critical issues.
- Support strategic initiatives by coordinating meetings, preparing agendas, and tracking action items to drive business objectives forward.
- Anticipate leadership needs and proactively manage scheduling, travel arrangements, and logistics for high-priority projects and events.
- Contribute to a positive, productive work environment by fostering trust, confidentiality, and professionalism in all interactions.
- Assist in change enablement initiatives by creating clear communications and presentation materials that support organizational transitions, ensuring key messages are effectively conveyed and executive directives are implemented smoothly.
- Prepare, edit, and proofread correspondence, presentations, and reports for executive review and distribution.
- Work closely with the Chief of Staff and leadership team to design, coordinate, and execute cross-functional initiatives that drive organizational priorities and support long-term business objectives.
- Facilitate meetings, develop presentation materials, and track progress against goals to ensure strategic initiatives stay on schedule and key outcomes are communicated effectively throughout the organization.
- Serve as a liaison between executive leadership and project teams, ensuring alignment on objectives and providing regular updates on milestones, roadblocks, and results.
- Track and follow up on action items, deadlines, and deliverables to ensure timely completion of executive and team priorities.
- Support event planning, including logistics for offsite meetings, company gatherings, and leadership retreats.
- Manage and coordinate complex executive calendars, schedule meetings, and resolve scheduling conflicts to maximize productivity.
Required Qualifications
- Demonstrated success working in a demanding, fast-paced environment. Experience should include managing shifting priorities, coordinating complex schedules, handling confidential information discreetly, and anticipating the needs of leadership to ensure seamless day-to-day operations. Ability to adapt quickly, remain composed under pressure, and deliver high-quality work within tight deadlines is essential. Previous exposure to dynamic organizations or roles where multitasking, proactive problem-solving, and clear communication were critical will be highly valued.
- Bachelor’s degree preferred; equivalent combination of education and experience considered.
- Advanced skills in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and collaboration platforms such as Teams, Slack, or Zoom.
- Demonstrated ability to perform work with accuracy, thoroughness, and reliability.
