About the Job

Our client is hiring a highly organized and proactive Executive Assistant to support four Vice Presidents across its Growth and Location Experiences teams. The role focuses on comprehensive executive support, improving day-to-day efficiency, and enabling smooth operations across multiple teams. As a fully remote organization, this position plays a key role in keeping leadership aligned and productive in a distributed environment. Beyond traditional EA duties, the role also contributes to team morale, connectivity, and overall remote culture. The ideal candidate is adaptable, resourceful, and thrives in fast-paced settings, with strong communication skills, sound judgment, and the ability to anticipate needs and take ownership to maximize executive effectiveness.

What You’ll Do

  • Provide proactive, high-touch administrative support to four VPs, anticipating needs and optimizing executive time
  • Own complex calendar management, scheduling, agendas, notes, follow-ups, and action item tracking across multiple time zones
  • Partner closely with executives and stakeholders to ensure clear communication, preparation, and execution of key updates and priorities
  • Act as a culture ambassador, helping foster connection, morale, and engagement in a fully remote environment
  • Coordinate strategy offsites, team events, and company activities
  • Manage domestic and international travel, expenses, and budget-related support
  • Lead projects and special initiatives in support of organizational goals
  • Build strong relationships with internal partners, external stakeholders, and the broader EA team
  • Handle a fast-paced, changing environment with sound judgment, urgency, and discretion

What They’re Looking For

  • 3–5 years of experience supporting senior leaders in fast-paced, high-growth environments
  • Proven ability to manage multiple executives, shifting priorities, and complex calendars
  • Highly organized, proactive, and detail-oriented with strong judgment and discretion
  • Excellent written and verbal communication skills
  • Strong collaborator with the ability to work effectively across teams and time zones
  • Comfortable operating independently in a fully remote environment
  • “Get-it-done” mindset with the ability to anticipate change and move quickly
  • Experience working with other Executive Assistants and cross-functional partners
  • Proficiency with modern productivity tools (Google Workspace, Slack, Confluence, Expensify, etc.)
