About the role
About The Role
sweetgreen has been on a mission to build healthier communities since 2007 — and behind every seamless team member experience is a stack of people systems that have to work in concert. As we scale to 280+ locations and 6,000+ field team members, the complexity only grows.
We're looking for a Senior People Technology Systems Analyst who brings structure to that complexity — someone who is equally at home untangling a broken workflow, interrogating why something is still done manually, and building the configuration or automation that makes the problem disappear. You don't wait to be handed a solution; you identify what's broken and drive the fix.
This role sits at the center of our workforce technology ecosystem, spanning Legion WFM, UKG Pro, Workato, and the downstream systems that support field operations at scale. You'll take on complex configuration challenges independently while partnering closely with Operations, Finance, Legal, and People teams to translate real business needs into reliable, scalable technical solutions.
Your Responsibilities
Workflow & Process Analysis
- Map current-state workflows across People Operations and Labor Operations, identifying where processes break, stall, or require unnecessary manual effort.
- Partner directly with HR, Payroll, and Operations stakeholders to understand pain points and translate business needs into system configuration or redesigned processes.
- Facilitate requirements-gathering sessions and produce clear documentation: process maps, decision flows, SOPs, and gap analyses.
- Evaluate proposed changes through a systems lens, identifying downstream impact before anything goes to build.
System Configuration & Administration
- Administer and configure people technology platforms across the HR stack, including core HRIS (UKG Pro or Workday), Workforce Management (Legion or UKG WFM), and connected tools.
- Assist with managing system settings, business rules, scheduling policies, compliance configurations, security roles, and user access.
- Support new feature rollouts, system upgrades, and configuration changes, from requirements through UAT to go-live.
- Serve as the person who actually knows how the system is configured and why.
Testing & Quality Assurance
- Build and execute test plans for system changes, new configurations, and integrations, including unit, regression, and user acceptance testing.
- Document test cases, defects, and resolution steps.
- Maintain a QA log that makes audits painless.
- Coordinate with end users and stakeholders to facilitate UAT and capture sign-off before changes hit production.
Automation & AI Enablement
- Identify manual, repetitive workflows across the People Tech ecosystem; design and implement automation solutions using platform-native tools or iPaaS platforms (e.g., Workato) to eliminate unnecessary manual effort across data feeds, notifications, approval routing, and report distribution.
- Evaluate AI-powered features and capabilities within people technology platforms; configure and deploy intelligent workflows and agents for use cases such as employee self-service, recurring reporting & analysis, approvals, and service support, then monitor performance and refine based on real outcomes.
Data Integrity & Reporting
- Generate and maintain reports and dashboards focused on key workforce metrics, including scheduling, time & attendance, headcount, and compliance, to provide actionable insights.
- Conduct regular audits of data across all integrated systems to proactively identify and resolve discrepancies and root causes, ensuring data integrity and preventing payroll issues.
- Fulfill ad hoc data and reporting requests from stakeholders in HR leadership, Finance, and Operations, delivering outputs that are thoroughly documented and reproducible.
Qualifications
Required
- Platform Expertise: 4–6 years of hands-on experience configuring and administering People Technology platforms, including HRIS, Workforce Management (WFM), or both.
- System Fluency: Strong preference for fluency with at least one enterprise HRIS or WFM platform, such as UKG Pro, Workday, or Legion.
- Process & Workflow Analysis: Proven ability to map workflows and conduct process analysis collaboratively with business stakeholders, not in isolation.
- Integration Knowledge: Working knowledge of various integration patterns: flat-file, API-based, or using an Integration Platform as a Service (iPaaS) like Workato, Boomi, or similar tools.
- Data Proficiency: Strong skills in report building, data auditing, and using SQL or query logic to independently investigate and resolve data anomalies.
- Communication: Excellent communication skills across both technical and non-technical audiences, demonstrated by the ability to write clear process documentation for new hires and precise requirements specifications for engineers.
Preferred
- Familiarity with AI productivity tools, prompt engineering, or AI agent configuration within HR platforms.
- Exposure to payroll integrations and the data flows between WFM and HRIS systems.
- Experience in a high-growth, multi-location retail, hospitality, or food & beverage environment.
- Exposure to Agile or iterative delivery methodologies
