About The Role
The Department of Chemical and Biomolecular Engineering is seeking a highly organized and proactive Sr. Administrative Coordinator to provide comprehensive executive support to the Director of Rosetta Commons and the Chief of Staff. This role involves managing the daily operations of the Rosetta Commons community, ensuring seamless cross-institutional coordination and communication. The successful candidate will serve as a key administrative partner, performing a wide range of functions including calendar management, project coordination, budget oversight, event planning, and website management. This position requires a detail-oriented professional with excellent communication skills, the ability to handle multiple priorities, and a collaborative approach to working with faculty, staff, students, and external partners.
Qualifications
- High school diploma or graduation equivalent
- Four or more years of relevant administrative experience
- Bachelor’s Degree in a related field (preferred)
- Experience working in multi-institutional or collaborative environments (preferred)
- Proficiency with shared office platforms such as OneDrive, Teams, Zoom, and Google Drive
- Experience with financial and procurement systems like Concur, SAP, and vendor management (preferred)
- Technical certifications or specialized training relevant to office administration (preferred)
- Excellent organizational, communication, and problem-solving skills
- Ability to handle confidential information with discretion
Responsibilities
- Plan, support, and organize daily activities of the office or program to ensure operational efficiency
- Provide complex administrative, project, and calendar support to department leadership, including scheduling meetings and coordinating logistics
- Manage and maintain the calendars of senior leaders, including planning and prioritizing appointments and meetings
- Support budget administration by monitoring expenses, reconciling accounts, and assisting with financial projections
- Prepare and distribute meeting materials, draft agendas, and record minutes, ensuring follow-up on action items
- Coordinate procurement processes, process invoices, and reconcile accounts to ensure timely payments and accurate records
- Develop and manage administrative projects such as databases, reports, grant proposals, and office workflows
- Coordinate and support department events, workshops, conferences, and retreats, including logistics and setup
- Assist with website updates, maintaining accurate and current information regarding lab members, publications, and achievements
- Manage and update the director’s curriculum vitae and online professional profiles
- Coordinate housing accommodations for summer interns and support other logistical needs
- Collaborate with internal and external stakeholders to facilitate meetings, events, and operational activities
- Identify administrative issues and implement solutions to improve office efficiency and workflows
- Supervise and coordinate work assignments for students and temporary support staff as needed
- Perform other duties as assigned to support the department’s objectives and functions
