Weekend Calendar Assistant at Steno
Steno is actively seeking a Weekend Calendar Assistant to join our thriving team. This full-time, remote, hourly non-exempt position offers exceptional benefits, flexible PTO, a flexible schedule, and equity. You will be responsible for covering Sunday through Thursday, aligning with Pacific Standard Time Zone hours.
Who Are We Looking For?
Reporting to our Calendar Team Manager, you will develop and manage relationships with court reporters across all markets. This role requires a collaborative spirit while maintaining a high level of independent discretion. If you enjoy coordinating many moving parts, solving puzzles, and excelling under pressure, this role is for you. You'll also have the opportunity to work cross-functionally, providing critical feedback to position Steno as a top court-reporting agency.
On a Regular Basis, You Will:
- Develop and foster strong relationships with Court Reporters, ensuring they feel like an extension of the Steno team.
- Utilize Steno’s scheduling tools to accurately book Court Reporters for depositions, providing timely follow-up and removing any friction.
- Deeply understand Court Reporter functions to manage conversations related to rates or invoices fairly and professionally.
- Analyze Steno’s job pipeline to recruit and vet new Court Reporters, ensuring demand is met.
- Partner with our Marketing team on campaigns to build Steno Court Reporter groups and talent pools, developing programs to build awareness and trust.
- Proactively track assignment deadlines and follow up with Court Reporters for timely delivery of transcripts.
- Understand Steno’s processes and tools to train Court Reporters and promote best practices.
- Collaborate with operational leaders to advocate for the Court Reporter experience and develop innovative process improvements.
- Design programs to ensure a high standard for service delivery to Steno’s clients.
- Manage weekend scheduling needs, including urgent or next-day bookings, quick inquiry responses, and critical issue escalation to leadership.
You'll Excel If:
- You have prior experience at a Court Reporting agency (strongly preferred, but not required).
- You are proficient on Mac and PC and can quickly learn new systems (Google Drive experience is a plus!).
- You have experience with CRM systems or are eager to learn.
- You possess fantastic customer service skills, are highly reliable, and operate with a hospitality mindset.
- Your written and verbal communication skills are exceptional.
- You are detail-oriented, highly organized, professional, and comfortable wearing multiple hats in a fast-paced environment.
- You are an analytical thinker, capable of pulling reports and answering business questions.
- You are passionate about creating deep relationships with Steno Court Reporters and comfortable managing difficult conversations.
- You desire to work with a tech start-up and are enthusiastic about growing with our team.
Compensation & Benefits
This position offers an hourly rate of $20-$23, alongside a comprehensive benefits package:

This team drives and refines our reporter base, guaranteeing a quality deposition experience and upholding Steno’s reputation as a top agency for law firm clients.
