Position Summary

We are seeking a dynamic and professional Marketing and Administrative Assistant to support both marketing initiatives and day-to-day administrative operations at our assisted living community. This role is highly visible and requires strong communication skills, attention to detail, and the ability to balance multiple responsibilities in a fast-paced environment.

Primary Responsibilities

  • Marketing Support: Assist with planning, organizing, and executing marketing initiatives to drive census growth and community outreach.
  • Coordinate events, tours, and promotional activities for prospective residents and their families.
  • Maintain and update marketing materials including digital content, social media, and the website.
  • Track marketing data, referral sources, inquiries, and lead conversions using CRM or other tools.
  • Schedule appointments, follow-ups, and community outreach visits.
  • Support external communications with vendors, partners, and referral agencies.
  • Administrative Support: Prepare reports, manage calendars, organize files, and maintain office inventory.
  • Assist leadership with clerical and project-based tasks.
  • Manage correspondence, draft letters or memos, and maintain organized records.
  • Reception & Guest Services: Serve as the first point of contact for walk-ins, visitors, and phone inquiries.
  • Manage the front desk, answer phones, and greet visitors with courtesy.
  • Assist residents, families, and staff with basic inquiries and direct them appropriately.
  • Monitor lobby, visitor sign-ins, and deliveries to ensure a safe and welcoming environment.
  • Distribute information, announcements, and updates throughout the community.

Requirements

  • Associate’s or Bachelor’s degree in Marketing, Communications, Business, or a related field preferred.
  • 1–2 years of experience in marketing, administrative support, or reception; senior living or healthcare experience is a plus.
  • Strong organizational skills with the ability to prioritize and multitask effectively.
  • Proficiency in Microsoft Office Suite; CRM or marketing software experience preferred.
  • Excellent interpersonal, written, and verbal communication skills.
  • Professional demeanor and customer-service orientation.
