Job Description
Assistant to the Director of General Medicine

About The Role
General Medicine is a large medical department within the Medicine, Emergency and Intensive Care program at SVHM. The General Medical Director oversees the department in conjunction with Nurse Unit Managers, Operations Manager, and General Manager. This Assistant role will support the Director with the running of the department and will be based at the Fitzroy site. This is a permanent part-time position (0.5 EFT).
Key Responsibilities:
- Manage and coordinate diary/meeting schedules, including meeting/appointment requests.
- Coordinate meetings, including timely preparation of agendas, completion of minutes, and distribution.
- Attend and minute meetings as required by the Director.
- Correspond with internal SVHM and external professionals, representatives, and other stakeholders, keeping them informed of relevant communications, meetings, and schedule changes.
- Manage and maintain Senior Medical Staff rosters, leave planners, and leave requests.
- Assist the Director in regularly tracking local KPI data, including mandatory training, performance reviews, discharge summary completion, JMS overtime, and excess leave.
- Create and format reports, correspondence, and statistical reporting platforms as required.
- Assist with recruitment administration.
- Ensure the timely completion of UKG administrative processes, workday actions and changes, and D365 invoice administration on behalf of the Director.
- Assist with the preparation of presentations and other administrative tasks requested by the Director.
Classifications and Salary:
Classifications for this position will range from HS3 - HS25 ($74,448.40 - $82,305.60) per annum, pro rata.
Your Contribution
- Experience in and knowledge of administrative support roles and functions.
- Highly proficient computer skills using Microsoft Office Suites (Word, Excel, Access, PowerPoint) and demonstrated ability to learn other digital platforms.
- Exceptional written and verbal communication skills.
- Demonstrated time management and organizational skills.
- Current National criminal history check, or willingness to obtain.
