Administration Officer - Level 3

St Vincent's Health Australia is seeking an Administration Officer (Level 3) for a Permanent Part-Time position (16 hours/week) within the Health Information Service at St Vincent’s Hospital, Darlinghurst. The role offers a salary of $71,072.43 - $73,287.41 (Pro rata) plus superannuation and salary packaging benefits.

About The Role

This frontline support role involves providing professional reception and administrative assistance within the Health Information Service (HIS) department. Key responsibilities include:

  • Medical Records Management: Retrieving, tracking, and maintaining paper and electronic medical records, ensuring accuracy and integrity.
  • Release of Information: Processing requests for medical information in compliance with privacy, medico-legal, and Ministry of Health guidelines.
  • Data Accuracy & Systems: Entering and maintaining high-quality data in the Patient Administration System (PAS) and Scanned Medical Record (SMR).
  • Responsive Communication: Managing inquiries via phone, email, and fax, providing prompt and compliant communication.

About You

The ideal candidate will possess:

  • Strong Communication Skills: Ability to liaise effectively with multidisciplinary teams and explain processes to patients and clinicians.
  • Problem-Solving Mindset: Initiative to resolve issues and complaints independently and collaboratively.
  • Healthcare Experience: Previous experience in a hospital or Health Information Services environment, preferably with exposure to PAS.
  • Customer Service Excellence: Proven reception and telephone skills with a patient-focused approach.
  • Highly Organised & Detail-Oriented: Capable of multitasking, prioritizing, meeting deadlines, and maintaining strict confidentiality.
