Role
The Administrative & Operations Assistant supports daily operations by managing schedules, communications, and financial tasks for a US-based electrical company operating on Eastern Time.
Duties and Responsibilities
- Manage daily schedules and calendars for an 8-person field team
- Coordinate and assign jobs using Jobber CRM
- Handle client communications via phone, WhatsApp, and email
- Support bookkeeping tasks including invoicing, payment tracking, and payroll input in Excel
- Monitor outstanding payments and prepare operational reports
- Assist with financial and operational tracking and general administration
- Work closely with the company owner and co-owner to manage priorities
Qualifications
Candidates must be available to work Sunday through Friday starting at 7:30-8:00 AM EST and possess strong bookkeeping, client service, and communication skills. Experience in service industries such as electrical or construction is a plus, along with proficiency in Google Suite, Microsoft Excel, Jobber CRM, and QuickBooks Workforce.
Preferred
Experience with electrical or construction industries and familiarity with Hispanic/Spanish-speaking clients is preferred.
